The client lifecycle
A client file stays in use after the acceptance decision. Information changes, monitoring keeps running, and the file has to be re-assessed periodically.
The file stays editable
Section titled “The file stays editable”Acceptance does not freeze the client file. Your team can still edit information, add parties, upload documents and adjust the risk profile.
Your client can keep the file up to date too, from the client portal: parties with the update permission edit their own information there, and every such change is recorded with old and new values.
Ongoing monitoring
Section titled “Ongoing monitoring”The client company is monitored daily at Stracket from the moment it was first screened. New sanction, PEP or adverse-media findings produce a new report on the client, also months or years after onboarding.
Two limits to be aware of:
- The individual parties are not monitored. Their screening was a one-off check, and re-running it requires the client to be back at Pending compliance; see the screening window.
- The dashboard sends no email about a monitoring hit. The alert marker on the Stracket reports button is the only signal here. Either check it yourself on a fixed schedule, or switch on the email alerts in the Stracket portal. That portal is also where you adjust the monitoring interval.
Re-assessing a client
Section titled “Re-assessing a client”BECCO Trust does not schedule periodic re-assessments for you: there is no automatic reminder and no review that opens by itself. Keeping clients up to date is therefore a matter of your own routine. In practice a re-assessment consists of:
- Asking the client to confirm or update their information, through the client portal or by unlocking their form.
- Collecting fresh documents where the old ones expired: a new passport copy, a proof of address that is again no older than three months, a recent bank reference.
- Verifying the party again. Note that unlocking a form clears the Information verified flag automatically, so the verification wizard will ask for a fresh confirmation.
- Running the screening again on the company and the parties, while the client is back at Pending compliance. This has to happen before compliance answers the MLCO question again, because screening is only possible at that one status.
- Updating the risk profile: a new final risk classification, the compliance judgement and, where the outcome changes, the management decision.
Record what you did and why in the client’s internal notes and in the Additional information / Remarks field of the risk profile, so the next reviewer can see when the file was last looked at.
Changes in the structure
Section titled “Changes in the structure”When shares change hands, a new investor joins or a UBO leaves, the organization chart has to be brought up to date and the change re-assessed. That has a chapter of its own; see Changes in the structure.
The organization history
Section titled “The organization history”The Organization history button in the toolbar of the client’s UBO tab shows the chart over time. The list holds Current for today’s situation, plus any archived snapshots. Selecting an entry renders the chart as it was at that moment, and highlights which parties were added and which were removed compared with the previous snapshot. Removed parties stay visible in the chart, so you can see who left.
Note that a changed percentage on a party that exists in both snapshots is not highlighted: compare the two charts yourself for that.
Archiving a client
Section titled “Archiving a client”A client you no longer work with can be archived from the three-dot menu in the client list. Archiving does not delete anything: the client disappears from the default list, and the Stracket monitoring of the company is switched off.
Archived clients are found by setting the Client status filter to Archived. From there an administrator or the CEO can Restore them, or Delete them permanently.
