Finding your way around

After signing in you land on the platform overview. Most users work within a single platform; if you have access to more than one, pick the one you want to work in.

Inside a platform you arrive at Clients. Each row is one client, with the columns:

Company name / point of contactThe client company, with the name of the point of contact underneath. As long as no company name has been entered, the row shows Company to be established. A marker appears here when the client has unread chat messages.
Client statusWhere the client is in the acceptance process. See Statuses explained.
Status per partyOne badge per party status that occurs on this client, with the number of parties currently in that status: Pending information 3x means three parties still have work outstanding.
Assigned toThe team member responsible for this client.
DateWhen the client was created.

You can sort on company name, client status, assigned team member and creation date by clicking the column header. Newest clients are shown first by default.

The search box above the list searches on the client’s first name, last name and company name, and on the names of the parties connected to it. So you can find a client by the name of a shareholder or director, not only by the company name.

It does not search on email addresses.

Three filters sit above the list, and they are remembered between sessions:

  • Team member: only the clients assigned to a particular colleague.
  • Client status: one of the eight client statuses, or Archived to see archived clients.
  • Party status: clients that have at least one party in the selected status.

Three-dot menu → EditOpens the client’s details to change the assigned team member. The role and the name of the point of contact are read-only here.

Three-dot menu → Restore / DeleteShown for archived clients: bring the client back, or remove it for good. Available to administrators and the CEO.
  • Create new client starts a new onboarding. More on that in Step 1: Create the client.
  • The download icon exports the client list to an Excel file (clients_export.xlsx). Exporting the list is available to administrators and the CEO.

The left-hand navigation holds the other overviews of your platform.

Parties is a platform-wide register of every person and company across all your clients: points of contact, UBOs, shareholders, directors and stakeholders. Use it when you want to look at a person rather than at a client.

  • Choose between Natural persons and Legal entity.
  • The Clients column lists every client the party is connected to.
  • The Party status column shows one badge per client: a party can be Compliance agrees on one client and still Pending information on another, because a party status always belongs to a specific client file.
  • The search box here looks at the party’s name, their PAN number and the client’s name.

Team lists your colleagues with their role, email address and phone number. Managers and administrators can add a colleague here:

  1. Press Add new team member.
  2. Choose the Role, and fill in name, email address, phone number and an initial password (there is a generate-password helper).
  3. Save. The new team member can sign in straight away.

The role determines what someone may see and do; every role is described in Team roles. Existing team members can be edited (including their email signature) or removed from the three-dot menu.

Two entries are only visible to the roles that manage the platform itself:

  • Theme: your organization’s colors, used in the dashboard, the client portal and every email that goes out. Reserved for administrators.
  • Settings: the platform settings: your logo, general information, the portal website URL, the global compliance email address, the Stracket integration, the FIU information, your social links and the platform assets (terms and conditions, UBO declaration). Available to management (CEO and managing director) and administrators.

If you don’t see these entries, your role doesn’t include them.

ChatOpens the chat panel with all your unread internal messages across every client, with a badge showing the number of unread messages. See Internal chats.
DevicesYour verified devices: the devices you have signed in from, so you can revoke one you no longer use.
Account settingsYour own profile: name, email address, phone number, your password and your email signature.

Click a client to open its page. The header shows the company name, the point of contact, the client status and who created the client. Along the top are the tabs:

  • Information: the main tab. It has three blocks: the company card with the client’s own details (legal name, legal form, registration number, country of statutory seat, tax identification number, date of incorporation and the assigned team member) plus the screening actions; the party list with every connected party, their indicators and their status; and the risk profile at the bottom, where the compliance judgement and the management decision are recorded.
  • UBO: the ownership structure (organization chart) of the client, read-only: who owns and controls what, with percentages. The legend explains what the nodes mean. The Organization history button in the toolbar opens the organization history, and Download exports the chart as a PDF.
  • Chats: internal chat about this client with your colleagues. You’ll get an email if you miss a message or are @mentioned.
  • Contact client: send emails to the client directly from the dashboard, and see the full mail history including messages sent from the portal.
  • Documents: all documents connected to the client, per party. See Managing documents.
  • Internal notes: internal notes for your team.
  • Audit trail: the full history of everything that happened on this client. Every status change, screening and email is recorded here automatically.

From the Account settings button you can update your profile settings (name, email address, phone number), your password, and your email signature, which is added to every email you send to a client.
