Step 5: Screening
Before a decision can be made, the client company and everyone in the structure are screened against sanction lists and PEP registers (politically exposed persons), with an adverse-media check on top. BECCO Trust does this through its integration with Stracket.
Run a screening
Section titled “Run a screening”-
Open the client’s Information tab. On the company card at the top you’ll find Run screening.
-
Select who to screen:
- the Main entity: the client company itself;
- the parties of the client.
-
Start the screening.
Three conditions must be met, and the dialog will tell you if they aren’t:
- The client must be at status Pending verification or later. At Initial or Pending information the dialog shows “Stracket screening unavailable”.
- A party can only be selected once it is at Pending verification or later as well. Parties that are globally linked are screened at their source client and cannot be selected here.
- The client company needs a company name before it can be screened.
Screening stays available for the rest of the client’s life, including after compliance has given its judgement and after the client is Accepted or Declined. Re-screening an accepted client no longer requires setting a party back to unverified.
The screening runs in the background. Close the dialog whenever you like; results are delivered to the dashboard automatically as soon as they are ready.
Reading the results
Section titled “Reading the results”For every screened person or company you’ll find:
- A Stracket report (PDF) with the detailed findings. Party reports open from the Reports button in the party list; the report of the client company opens from the Stracket reports button on the company card.
- Updated PEP and Sanction hit indicators in the party list, each with the date it was set.
- The Last Stracket check date in the tooltip of the company card, so you always know how fresh the results are.
- An entry in the Audit trail for every screening started and completed, with a View in Stracket link to the underlying check.
Each report carries an outcome: Clear, Consider or Rejected.
Clear results are approved automatically
Section titled “Clear results are approved automatically”When a screening comes back Clear, the report is approved automatically and nothing further is needed.
When a screening finds something (Consider or Rejected), the report is stored not approved. The Stracket reports button on the company card then shows an alert marker, so you can see at a glance that a report is waiting for a human judgement. Open the report, assess whether the hit is real and acceptable, and press Approve to clear it.
Ongoing screening of the company
Section titled “Ongoing screening of the company”The client company keeps being screened after the first check. From the moment it is first screened, Stracket monitors it daily. That default is fixed in BECCO Trust: there is no setting for it in the dashboard, and the interval can only be adjusted in the Stracket portal.
What you notice of it:
- Nothing changed? Only the Last Stracket check date moves along, so you can see the monitoring is running.
- A new finding? A new report is stored on the client. If its outcome is Consider or Rejected, the report is not auto-approved and the Stracket reports button shows the alert marker.
- Every monitoring check is recorded in the Audit trail.
Two limits to be aware of:
- The individual parties are not monitored. Their screening is a one-off check at the moment you run it. You can re-run it at any later status, but each re-run costs a credit, so plan a re-screening as part of a deliberate re-assessment of the file.
- BECCO Trust sends no email about a monitoring hit. The alert marker on the client is the only signal from the dashboard. Stracket itself can email you; switch on the notifications described below.
Monitoring is switched off automatically when a client is archived. Restoring an archived client does not switch it back on, and neither does running a new screening on it: the client keeps its existing monitor, which stays disabled. You can re-screen a restored client, but to get monitoring back you have to re-enable the monitor in the Stracket portal.
Managing monitoring in the Stracket portal
Section titled “Managing monitoring in the Stracket portal”BECCO Trust starts the monitoring, but the monitor itself lives at Stracket. Everything around the how often and the what of monitoring is therefore arranged in the Stracket portal: an environment of your own, alongside the dashboard.
Getting access
Section titled “Getting access”The Stracket portal works by invitation: there is no self-registration. Someone in your organization who already has access opens Team and presses Invite user; the colleague receives an email to set their own password. Is nobody in your organization set up yet? Contact Stracket, or ask your BECCO contact: it is the same account that holds the API key of your platform.
Give the person who is responsible for ongoing monitoring, usually the compliance officer or a manager, their own account.
Adjusting the interval
Section titled “Adjusting the interval”-
Sign in at stracket.com and open your workspace.
-
Go to Monitors in the navigation for all monitors, or open the company under Subjects and choose the Monitors tab there.
-
Press Update monitor in the row menu.
-
Set the Frequency: Daily, Weekly, Monthly, Quarterly, Half-yearly or Yearly. Underneath, the portal shows in plain language when the check will run.
-
Optionally adjust the Start date and Which checks? (sanctions/PEP search, adverse media, identity document verification).
-
Save.
From the same list you can pause a monitor (and resume it later), or delete it. The list shows the status (Enabled or Paused), the frequency and the checks per subject, and can be filtered by frequency and status.
Turning on email alerts for hits
Section titled “Turning on email alerts for hits”In the Stracket portal, go to Settings → Notifications and switch on Receive an email when a monitored subject requires review. Then add one or more notification recipients, for example the compliance mailbox.
From that point on you receive an email whenever monitoring detects a change that needs assessment. Since the dashboard itself sends nothing on a monitoring hit, this is the only automatic signal you get.
Finding a BECCO screening in Stracket
Section titled “Finding a BECCO screening in Stracket”Screenings started from the dashboard land in the same lists as screenings created in the portal itself. Recognize them by the API tag next to the check, and by the audit line “A new check named … has been run via the external integration API.”. The persons and companies themselves (the subjects) look no different from manually created ones.
Two things to watch:
- Adjustments in Stracket are not visible in BECCO Trust. The dashboard shows the reports and the Last Stracket check date, not the frequency of the monitor.
- Do not delete subjects or monitors of clients that are still active: the dashboard expects the monitoring to keep running. Pausing is the safer option, and archiving a client in the dashboard switches its monitoring off by itself.
If the screening won’t start
Section titled “If the screening won’t start”- “Stracket screening unavailable”: the client or the parties aren’t at Pending compliance yet; see the conditions above.
- Insufficient credits: your organization’s Stracket account is out of screening credits. Contact Stracket or your BECCO contact to have extra credits added.
- Any other error: try again, and contact support if the problem persists.
