Working with linked parties
Linking a party
Section titled “Linking a party”Linking happens while building the structure, in the same dialog you use to add a shareholder or director:
-
In the Structure section of the onboarding form, add a shareholder or director as usual, and choose the type (natural person or legal entity).
-
In the linking step of the dialog, the dashboard offers existing parties to link instead of creating a new one, grouped by origin: Active parties of this client, Archived parties of this client, and Shareholders (or Directors) available in the whitelabel; that last group is every original party from the other clients on your platform. Search by name to narrow the list.
-
Select the party and press Link party. The party appears in the structure with a chain-link icon; its details come from the source client.
The dashboard enforces a few rules:
- Like for like: you can only link a party in the same capacity it has elsewhere. Adding a shareholder shows only parties that are shareholders on their own client; adding a director shows only directors. (A point of contact counts along, when the client they belong to was created with the matching role.)
- The type must match: a natural person can only be linked in place of a natural person, a legal entity in place of a legal entity. Natural persons additionally need a date of birth on the source, so the right person is identified.
- Only original parties can be linked: you cannot link a party that is itself a link.
- The party must come from a different client on your platform.
- Linking is a dashboard feature: the whitelabel group is only shown to signed-in team members. A client filling in their own form never sees parties from other clients.
What you can (and cannot) do with it
Section titled “What you can (and cannot) do with it”Within the client that borrows the party you can position it in the chart and give it an ownership percentage; that is structure information, which is local. Everything else is managed at the source client:
| Action | Where it happens |
|---|---|
| Editing the party’s information | Source client only: dialogs here open read-only |
| Documents | Stored at the source client |
| Screening | Runs on the source client; the PEP and sanction indicators carry over |
| Verification | Done on the source client; the Information verified flag carries over |
| Portal invitation | Sent from the source client |
Use the Go to original source shortcut in the party’s menu to jump straight to the source client.
Removing a link
Section titled “Removing a link”To take a linked party out of a structure, remove its node from the organization chart. This only removes the reference; the original party at the source client is untouched.
Reusing an archived party
Section titled “Reusing an archived party”Parties you archived on this client stay available in the Archived parties group of the linking dialog. If someone leaves the structure and comes back later, link the archived party back in rather than creating them again, so their history and documents stay in one place.
