Emailing your client
All email with a client runs through the client’s Contact client tab: what you send, what the client sends back through their portal, and what the system sent on your behalf. This gives every client one threaded mail history.
Sending a mail
Section titled “Sending a mail”Press Contact client on the tab to compose:
- Type: either Send email to party (pick one of the client’s parties; a linked party is mailed from its source client) or Send to custom email addresses.
- Topic: categorizes the mail as General or Other. The client’s portal message center can be filtered by topic; in the dashboard the topic is a sortable column.
- Title and Body: the mail itself. A greeting and your personal email signature (set in your account settings) are added automatically, and the mail is styled with your platform’s logo and colors; check the preview before sending.
- Attachments: files to send along.
- Two optional checkboxes when you selected a party:
- Unlock the form for the client: unlocks their onboarding form so they can change their information and sign again. Note that this also clears their Information verified flag.
- Allow client to update portal information: grants the party the update permission in the client portal.
Both are useful when you’re asking someone to correct something: you send the request and open the door in one action.
Tracking what happens
Section titled “Tracking what happens”The mail list shows every message with its Title, Topic, From, To and Sent at, and a Status per message: Sent, Processed, Delivered, Opened, Deferred, Dropped, Bounce or Blocked. Opening a mail shows the full delivery timeline per recipient, the rendered message and its attachments. Replies are shown threaded under the original mail.
You can filter the list on a specific party.
How the client reaches you
Section titled “How the client reaches you”Client messages arrive in the same tab, marked as coming from the client. They are sent from the message center in the client portal, where a party can start a message with a topic. Your team is notified by email when one comes in.
Resending and forwarding
Section titled “Resending and forwarding”Invitation mails (for the onboarding form or the portal) have two extra actions in the list: Resend sends the same invitation again to the same address; Forward sends it to a different address, marked as forwarded. Regular mails are answered with Reply instead.
