Step 3: Shareholders & other parties

Client acceptance covers the company and the people and companies behind it. In BECCO Trust, every person or company connected to the client is a party, and each party completes their own part of the onboarding.

Most parties appear automatically from the Structure section of the onboarding form (Step 2): every shareholder and director entered there becomes a party of the client. You can see them all in two places:

  • The Information tab of the client: a list of all parties, grouped by role, with their status, UBO/PEP/sanction indicators and available reports.
  • The UBO tab: the same structure drawn as an organization chart with ownership percentages.

The roles you’ll encounter:

The party list groups them under three headings: Point of contact (which also holds the additional points of contact), Shareholders & Directors (the structure itself, indented and expandable) and Additional stakeholders.

Each natural person in the structure who holds 5% or more, and every director, needs their own personal form completed. Just like at client creation you choose per party who does that:

  • The party themselves: they receive an invitation email with a personal link and code.
  • You, on their behalf: skip the email step when adding the party, then open their form from the dashboard and fill it in yourself. Useful when you already have the information, or when someone doesn’t work by email.

You can always send the invitation later, with Invite client in the form menu. A party is never invited twice by accident: the invitation is only sent if they haven’t received one yet.

Parties are added in the organization chart, in the Structure section of the form. Press the + button on the node you want to add to:

  1. Choose Add new shareholder or Add new director. For shareholders the dialog shows how much of the ownership is still unassigned (“40% left of 100%”).

  2. Choose the type: Natural person or Legal entity, and enter the ownership percentage for a shareholder.

  3. The dialog offers existing parties to link instead of creating a new one. If the person or company already exists, linking is almost always the better choice; see Linked parties.

  4. Fill in the details. For a natural person: name and email addresses. For a legal entity: trade name, legal name, legal form, country of statutory seat, establishment date, industry, website, phone number, address and the number of directors.

  5. Optionally draft the invitation email to the new shareholder or director. A ready-made text is pre-filled that matches their role and interest; a shareholder between 5% and 10% receives a shorter explanation than a larger shareholder.

If you enter a name that already exists in your platform, the dialog warns you and recommends linking that party instead, so the same person doesn’t have to fill in their information twice.

As parties fill in and sign their forms, their statuses move from Pending information to Pending verification, and the assigned team member gets an email each time a form is signed.

To include someone who is not a shareholder or director, use Add additional stakeholder on the Information tab. The dialog first asks which of the two you are adding, and that choice determines how much the person has to fill in:

After choosing, you draft their invitation email in the same flow.

From the party list you can also:

  • Preview form / Open client portal: jump straight into the party’s own form or portal.
  • Preview in structure: open the organization chart with this party highlighted.
  • Convert to point of contact: make a stakeholder or additional point of contact the client’s primary contact. The current point of contact becomes a stakeholder.
  • Invite to client portal, Update client portal permissions and Revoke client portal: manage the party’s portal access.
  • Go to original source: for linked parties, jump to the client where the party was originally created.
  • Delete stakeholder: remove a stakeholder or additional point of contact.

Shareholders and directors are removed from the organization chart itself, not from this list. The chart distinguishes removing the node (the party stays active under the client) from archiving the party (it goes to the archive, from where it can be linked to another node later).

When every party has status Pending verification, everyone has handed in their part and the client’s status automatically becomes Pending verification too.
